NEW BUSINESS

Presentation on Neversink Trails

(representatives from BAMBA: Jude Mateo, Jeremy Haymaker, Todd Papich)

  • Presented a summary of the work being done on Neversink Mountain trail systems and grants that they’ve applied for.
  • In 2022 a trail study was done by International Biking Association and that was presented (also available on the BAMBI site under Trails and Preserve page).
  • Fall 2024 file burnt 140 acres of the mountain and now presents an opportunity to rework/close/make new trails on the mountain.
  • Group is out presenting for public awareness and looking for sponsors to help raise funds that will be matched by DCNR.

2025 Elections (Steve Vida)

Steve moved that: “the club shall conduct the 2025 election as follows:

  • Matt Brophy shall administer the election online in a manner similar to 2024.
  • Nominations shall be accepted until October 24.
  • Voting shall occur online from Nov 3 to Nov 13 at 5pm.
  • Results shall be announced at the November 13 membership meeting.”

Motion was adopted after debate.

Anyone that has been a member in good standing, for at least a year, is eligible to run.  Let Matt know if anyone is interested in running (4 Directors and President are up for election).

REPORTS

Treasurer Report (Shaun Luther)

  • Balance is $97,237 which is 91% of target.
  • Blues Cruise, Oley CC, Kris Kringle income coming in
  • Donation of ~$5K sent to BCCCA from 2024 Kris Kringle event

Run for the Ages (Blair Hogg)

  • 164 Registered runners, 148 ran race and finished.
  • 2026 race is returning to last Sunday of June and expect numbers to return to historical average.
  • Net profit of ~$1.8K which will be split between club and Friends of Nolde Forest

REPORTS

Treasurer Report (Shaun Luther)

  • Balance is ~89% of target balance (target is last year’s budget x3) at $95,414.
  • Blues Cruise and Oley Country Classic registration income is now arriving.

Charlie Horse (Shaun Luther)

  • Final income total is $3,184 of which 50% will be sent to Special Olympics.

Motion:  Shaun Luther motioned to “approve $1,622 to send to Special Olympics”.  Motion approved.

NEW BUSINESS

2025 Elections (Steve Vida)

  • 4 seats on the Board of Directors are up for election
    • These are the seats currently held by Sue Jackson, Michelle Henry & Curtis Musser, and the vacant seat previously held by Jason Karpinski.
    • 2Yr term and meet 4x/year for 1.5-2hrs and typically discuss Pacer business in a more in-depth way.  
    • Good to have a mixture of voices involved (race directing, running only, etc)
    • Reach out to any existing Directors regarding any questions.
  • Office of President is up for election.  Steve does not intend to run for a third term.
    • 1Yr term and you can reach out to Steve, or any past club President, with any questions.

Blue Marsh Trail Maintenance (Michael Whalen)

  • Blue Marsh got zero federal funding for trail maintenance this year. The trails will be OK for Blues Cruise, but park trail maintenance going forward is unclear.
  • Michael will be organizing a Trail Maintenance Team (8-10 people) so look out for announcements on Pacer social media.

Jr. High Cross Country Meet: Tom Chobot has notified the club that 2025 (October 18th) will be his last year as Race Director.

IM ABLE Games at Mid-Atlantic Air Museum on September 20 (Michael Whalen)

  • Looking for help with Race Mates in a 2Mile fun run.  Expecting 3-4 chariots in use for the event.
  • Also need course marshals & hydration station volunteers from 8:30-11:30
  • Reach out to Michael if interested.

  • Balance is $89,446 which is 84% of target.
  • Starting to receive expenses/income for Blues Cruise

Run for the Ages Report (Blair Hogg)

  • 151 Pre-registrants, 17 day of race registrants (168 total) and 148 finishers (20 no-shows).
  • Next year’s race will move back to last Sunday of June.
  • Full Financial report at next meeting.

NEW BUSINESS

Oley Race (Jennifer Pierdomenico, Danny Cabrera)

  • Race date is Sunday November 2nd.
  • Tribute to Barry race logo to be released this week.
  • 5K will be increased to 6K and both races will finish in front of Oley Valley High School.  
  • Course preview runs beginning in September and will start with shorter distances and then build up to 7-8 miles by mid-October.
  • Application to go live by July 18th and will be available on runsignup, Pretzel City Sports (mail-in) & Oley PPAC website.

Charlie Horse Race (Steve Vida)

  • Libby Crockart is stepping down as race director but Shaun and Kelly will continue as directors.

Treasurer Report (Shaun Luther)

  • Balance is $94,279 which is ~89% of target.

Charlie Horse Race Report (Shaun Luther)

  • 115 registered runners and 103 finishers for the half-marathon
  • 46 registered runners and 45 finishers for the Pony
  • Income/expenses will be finalized for next month’s meeting.
  • 24 now registered for Triple-Trail Challenge. Last year there were 18 Triple-Trail finishers.)

Run for the Ages (Blair Hogg)

  • 139 preregistered, and day-of registration will be available.  
  • Looking to move back to last Sunday in June next year.

NEW BUSINESS

Blue Marsh Trail Maintenance (Steve Vida)

Staffing levels at Blue Marsh are currently reduced, and the rangers will focus resources on mowing.  They suggested that if groups want to help, they should give attention to trail maintenance in the wooded areas.  Mike Whalen offered to lead club efforts for tail maintenance. 

Pacer Picnic (Steve Vida)

Steve is trying to organize a Pacer event at the South Mountain YMCA camp.  The club would have access to the Cushion Peak side of the property for the weekend of July 19.  Preliminary plans include a “fat-ass” run in the morning, picnic in the afternoon, and camping overnight.

MotionSteve Vida made a motion that was adopted after discussion and amendment as follows:  “Approve up to $1,000 expenses for the picnic event.”  

Discussion:  Approved funds would go towards facility rental for the weekend ($600 for the weekend), port-o-potties, etc.  Details about food, beverages, costs, etc. to be worked out and information to follow.

Race Clock (Shaun Luther)

One of the two club race clocks seemed to be not working.  Shaun was unsuccessful in trying to duplicate the non-functionality after running it for 4.5hrs.  The new clock is $400-500, which was approved earlier.  After some discussion, it was decided to continue with the purchase of a new clock.

    • Steve Vida moved that “the club accept the choice of scholarship winners made by the committee”.  The motion was adopted without debate.
  1. Membership Report (Susan Jindra)
  • Currently the club has a little over 200 members with the total trending up by about 1/month and Susan shared a letter that is sent out to all new members (along with a Pagoda Pacers car magnet).
  • Susan noted Meetup as another way to bring members to the club and that the site has a 6months at $20/month option.
    • Steve Vida moved that “the club sign up for 6mos @ $20/month proposal made by Susan”.  The motion was adopted.

NEW BUSINESS

  • Georgine McCool noted that the Muhlenburg Ambulance Association was at each of the Shiver races for about 2hrs each race.  She requested a $200 donation be sent to the association.
    • Steve Vida moved that “the club send a $200 donation to the Muhlenburg Ambulance Association”.  The motion was adopted.

REPORTS

Treasurer Report was given by Shaun Luther.  Account balances are 95% of target ($101,695 of $106,168 – recalculated from last year).

Target is 3x expenses and 2 items change from 2024 

– Increase in social function expenses (Christmas party and Wine&Cheese)

– $2.8K for pacer swag

– 3x of each of these added to target balance has increased target balance).

Starting taxes and should be done by end of month.

            Last Kris Kringle Income is in and starting to get Shiver income & Blues Cruise.

            SV: Will review expenses/targets at next month’s board meeting for review

REPORTS

Appointments (Steven Vida) – Steve read the list of Officers, Club Appointed Positions and Race Directors.

MOTION:  Steve Vida moved that “the presented list of appointments be entered into the meeting minutes.”  The motion was adopted without debate.

Treasurer Report (Shaun Luther) – Balance $97,983 (153% of Target). 2024 P/L shows a profit of $1,216.

Kris Kringle Race Report (Lisa Domeshek) – Another successful year of the race with 462 finishers and a profit of ~$10k. So, ~$5k will be donated to the Berks County Cross Country Coaches Association.    

NEW BUSINESS

Pacer Passport (Michelle Henry) – The program had another successful year in 2024 with 25 Pacers completing their passport. Seven of the 25 Pacers were new to the passport program in 2024.    

MOTION:  Steve Vida moved that “Michelle Henry be authorized to administer the Pacer Passport program in 2025.  The cost of the swag is not to exceed $40 per person and not to exceed $1200 total.”  The motion was adopted (after/without) debate.

Membership Renewals (Steve Vida, Susan Jindra) – The 2025 renewal process went smoothly with only a few issues driven by the RunSignup system upgrade.

Election Results (Matt Brophy) – President: Steve Vida. Board of Directors: Brandon Beane, Lisa Domeshek, Kelly Ammon, Cody Harris and Blair Hogg.     

Treasurer Report (Shaun Luther) – Balance $92,241 (144% of Target). 

Oley Race Report (Lenny Burton) – It was a successful 30th year of the race with 275 runners and a profit of ~$6k. So, ~$3k will be donated to the Oley Valley Athletic Boosters Club. Lenny Burton, Race Director, is going to step down after next year’s race. So, the PPAC will need another member or two to volunteer to become Race Directors.   

NEW BUSINESS

RunSignUp Account (Shaun Luther) 

The club recently upgraded to a “Membership Organization”. Some new features are 

available through the website.

Constant Contact (Steve Vida)

Any club functions that are using Constant Contact for email services should be actively transitioning to RunSignup.

Pacer Apparel Store (Steve Vida)

Steve Vida moved that “the club authorize RockHound Apparel to offer Pagoda Pacer branded clothing during a short-term window with selection and terms similar to last year’s sale.”  The motion was adopted without debate.
